Terms & Conditions


Advectus Executive Chauffeur (‘we’/’us’) has laid down the following terms and conditions to protect our passengers, our chauffeurs and the company, and to ensure a pleasant journey experience for everyone who travels with us. Please respect and adhere to the following:


Vehicles

Our fleet consists of a variety of luxury vehicles with different seating configurations. The most popular vehicles are MPVs and sedans, usually Mercedes. Our MPVs seat a maximum of six or seven passengers (depending on the model), including the front passenger seat. Our sedans seat a maximum of three passengers, including the front passenger seat – the middle seat in the back is not suitable as a seat.

We request that all clients respect our vehicles, which are maintained to a very high standard of upkeep and cleanliness for passengers’ comfort and safety. Clients will be liable for any damage caused by them to the outside of the vehicle or the inside cabin, and they will be charged the costs for any repairs/replacements – including costs for the work done and any loss of earnings incurred by the vehicle and its driver – to bring the vehicle back to its normal high-quality hire state.

We comply with the law in the UK by operating a strict no smoking policy in all our vehicles. This includes all types of vape devices and E-cigarettes.


We politely request that clients refrain from eating hot food in our vehicles for the comfort of all our passengers.


We reserve the right to request the removal of any images and/or videos taken within our vehicles and published on social media or any other public domain without our permission.


Wi-Fi is available in our vehicles.


Luggage


There is ample luggage space in our MPVs for one medium suitcase per passenger (maximum seven cases). Luggage space in sedans is more restricted and allows for two medium-sized soft bags/holdalls. In the interests of safety and insurance, we do not allow large bags/suitcases in the cabins of our vehicles, only laptop cases and handbags. If you require extra luggage space, please inform us at the time of booking and we will supply a luggage vehicle at extra cost.


All our vehicles are fully insured for passenger and third-party claims in the unfortunate event of an accident. Our insurance does not cover clients’ personal property, which is carried at their own risk. We cannot be held responsible for any loss or damage to such property.


It is the clients’ responsibility to check the vehicle for all their possessions upon arrival at their destination. We cannot be held responsible for any possessions left behind. However, should this happen, we will keep those possessions in a safe place at our office premises and make arrangements with the client for their safe return. This may incur further charges to the client.


Safety


Our chauffeurs will drive to the circumstances of the road, including speed limits, weather and traffic conditions. Drivers will not ignore these at the request of clients/passengers.


Our chauffeurs have the right to refuse to carry any clients/passengers they believe are under the influence of alcohol or drugs, or whose behaviour poses a threat to everyone on board.


Children


We are happy to transport little passengers. Under UK law, children must use a child car seat until they are 12 years old or 135cm (4.5ft) tall. We can supply forward-facing child seats for children aged 9 months to 12 years, up to 150cm (4ft 1in) tall. For smaller/younger children you are advised to provide your own seat which we are happy for you to fit personally. Sole responsibility for the fitting of personal child seats in our vehicles lies with the adult responsible for the child/children; Advectus Executive Chauffeur does not take any responsibility for car seats wrongly fitted by another person.


Please always notify us if children are included in the passenger list.


Pets


We are happy to transport house-trained, well-behaved domestic pets in our vehicles. Bringing pets into the UK must be cleared by the authorities prior to the start of your journey into the UK.

Please always notify us if pets are included in the passenger list. We reserve the right to refuse to transport any pet that is aggressive or that we consider dangerous.


Bookings

Bookings cannot commence without the receipt of a booking confirmation.

There is a minimum hire for ‘as directed’ of four hours on all specialist vehicles, and six hours for the iconic marques, such as Bentley and Rolls Royce.


To ensure clients have the vehicle or driver they want, we advise booking as early as possible and we will endeavour to meet those requests. However, we reserve the right to change vehicles and drivers at any time if necessary.


On the day of the booking, our chauffeurs will travel to the clients’ destination by the most appropriate route, unless instructed otherwise by the client and agreed with us before the journey is undertaken. A longer route or diversion at the client’s request may incur further charges.


Our chauffeurs do their utmost to be punctual and allow plenty of time for pick-ups. They track aircraft and check road and weather conditions on live apps in advance to mitigate any potential hold-ups. However, sometimes circumstances are beyond our control. In such cases, we do our utmost to provide alternative transport for clients to get them safely to their destination.


Sometimes, in exceptional circumstances, it is necessary for our chauffeurs to be booked into overnight accommodation in order to complete clients’ travel requirements. These charges will be passed on to the client and are subject to VAT.


If we have a vehicle off the road, we will replace it with a fully insured hire vehicle as close to the same make and model as our own vehicle. However, we cannot guarantee this, especially for late bookings.


If the client does not appear at the time and place designated on the booking, and they cannot be contacted on the contact number provided when booking, it will be considered a ‘no show’ and will be charged at the full price of the booking.


Cancellations


Cancellations are charged at 100% within 12 hours of the booked time and 50% within 24 hours of the booked time, unless there is a special agreement in place with account holders. Cancellations of special vehicles, including iconic marques, will be charged at a minimum of six hours if cancelled within less than 48 hours of the booked time.


No refunds are given if the length of booking made and agreed beforehand is curtailed by the client during the course of the engagement.


Payments


All journey prices are subject to VAT, in accordance with UK law. VAT is currently charged at 20%. We accept all major credit cards.


Bookings may be subject to additional waiting times, car park charges, city congestion charges (e.g., London) or any tolls charged on roads which are part of the fastest route to the clients’ destination.


When meeting commercial flights, we allow 60 minutes’ waiting time from when the aircraft arrives on stand to allow passengers to transit the baggage hall and Customs.


Passengers arriving on private jet flights are given 30 minutes free of charge from arrival on stand before waiting time is charged.


Private jet crews must provide us with a ‘crew ready’ time; we allow 30 minutes after this time before waiting charges apply.


Excess charges will be charged at the prevailing hourly rate in 15-minute increments.

Bookings during unsociable hours – between the hours of 00:00 and 06:00 – will incur a surcharge of 20%.


Please note that journeys on UK public holidays and Bank Holidays, such as Easter, Christmas and New Year, will incur additional surcharges.


Our payment terms for account customers is 14 days from invoice. For any other customers, full payment is required at the time of booking. Account facilities are available on request, subject to terms, for all registered UK and international companies. Please contact info@advectuschauffeur.com for details.


Advectus Executive Chauffeur reserves the right to recover unpaid debts, including the use of debt recovery services and the small claims court. The booker will be held liable for any costs or interest incurred as a result of this process.

 

Nothing contained in these terms and conditions affect the clients’ statutory rights.

Privacy Policy


This policy covers the collection, processing and other use of personal data under the Data Protection Act 1998 and the UK General Data Protection Regulations – GDPR – 2018. By using our website you consent to this privacy policy.


The information we collect includes personal data when you make an enquiry about booking a trip with Advectus Executive Chauffeur, whether that is by telephone, email at info@advectuschauffeur.com or via our website at www.advectuschauffeur.com/contact. This data, e.g., your name, email address, home or work address and telephone numbers have been provided to us by you with your consent. We use some analytical tools that monitor details of visits to our website and the pages that you access, but this data will not identify you personally. 

 

We do not take payments via our websites. Your payment information (e.g. credit card details) provided when you make a booking is processed securely and privately.


Our payment processors will be privy to your personal data in order for us to complete the relevant payment transaction/s. They will not use your personal data, except to provide these necessary payment services to us, and they are required to maintain the confidentiality of your personal data and payment information under the law.


We may hold and process personal data that you provide to us in accordance with GDPR in order to enable us to provide our services to you. We may use the information for:

·      contacting you about changes to our website or business that may affect our service to you;

·      contacting you with information about your booking with Advectus Executive Chauffeur, pick-up/meeting arrangements, advising that an alternative pick-up time is needed due to hold-ups along the route, etc; and

  • for sending emails to you from time to time if you have consented to receive them.


We will never disclose or share your data with third parties without your specific consent. You can revoke your consent for the use of any of your data or request that we remove it from our database at any time in writing to our office at 23 Rylands Heath, Luton, Bedfordshire LU2 8TZ, UK, or email us at info@advectuschauffeur.com.


Although we do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk.

You might find links to third party websites on our website. These websites should have their own privacy policies. We do not accept any responsibility or liability for their policies whatsoever as we have no control over them.


We use cookies to gather information about your visit to our website. Such information will not identify you personally – it is simply statistical data about our visitors and their use of our website. GDPR gives you the right to access information held about you by us.
